1. Service description

The photo reproduction service makes it possible to obtain digital or photographic copies of the documents held by the Cagliari State Archives, in compliance with applicable legislation and the requirements for preserving the heritage.
The reproduction of documents is a key tool for study, research, and remote consultation of sources, and it helps reduce handling of original documents, thereby contributing to their long-term preservation.
This service is intended for scholars, researchers, professionals, students, and remote users who need to reproduce documents for study, research, or other uses permitted by law.

2. Types of reproduction

The Cagliari State Archives offers several reproduction methods, assessed case by case according to the condition of the documents and the purpose of the request.

Digital reproductions
The Institution may produce digital reproductions of the preserved documents, subject to:

  • the physical condition of the materials;
  • protection constraints;
  • service priorities.

Digital reproductions are generally intended for study and research purposes.

Photographic reproductions

In some cases, it is possible to request photographic reproductions made by authorised staff, in the manner established by the Archive.

Reproductions using personal equipment

Users’ ability to make reproductions with their own equipment is subject to:

  • current legislation;
  • the preservation condition of the documents;
  • prior authorisation from the reading-room staff.

Reproduction is permitted without the use of flash, tripods, or stands.
Not all documents may be reproduced using personal equipment.

3. Reproducible documents and limitations

The reproduction of documents is always subject to an assessment of the material’s condition and to compliance with applicable legal restrictions.
The following are not eligible for reproduction:

  • documents in poor condition;
  • documents subject to special protection restrictions;
  • materials whose reproduction could compromise their physical integrity.

The Archive reserves the right to limit or refuse reproduction where there are conservation, protection, or security concerns.

4. Reference legislation and use of images

The photo reproduction service is governed by the legislation on cultural heritage and by the regulations in force on the reproduction and reuse of images.
The reproductions may be used exclusively for the purposes stated in the request.
Any different use, including publication, dissemination, editorial use or commercial use, is subject to specific authorisation and, where required, payment of the relevant fees.
The user is responsible for the proper use of the images and for compliance with copyright and cultural heritage protection rules.

5. How to request it

The request for photo reproduction must be submitted in the manner indicated by the Archive, specifying:

  • the documents of interest;
  • the type of reproduction requested;
  • the intended use.

The requests are reviewed by the institution’s staff, who assess whether the work is feasible and inform the user of any conditions, timeframes, and costs.
Delivery times vary depending on the complexity of the request, the condition of the documents, and the service workload.

6. Costs and fees

Any applicable reproduction costs and fees are governed by the current legislation and the relevant internal regulations.
Detailed information on costs, rates and fees is provided at the time of the request or in the ’dedicated forms’ section

7. Forms

To request the photo reproduction service, it is necessary to complete a specific request form.
The dedicated section includes:

  • request forms
  • instructions for completing them correctly
  • useful contact details for submitting the documentation
